Application Guidelines

1. Purpose & Intent:  Participation as an exhibitor or sponsor at Her Table means creating moments of meaning and support. All offerings should be rooted in authentic service, well-being, creativity, learning, or guidance.

2.Community Role:  At least one on-site representative is required per table, able to warmly connect and foster a positive, uplifting atmosphere.

3. Space Agreement:  Your application, payment, and space assignment secure your reservation. Space is assigned with care for flow and collaboration—let us know if you need special accommodations.

4. Setting & Atmosphere:  Keep tables welcoming, open, and accessible. Avoid barriers or anything that feels exclusive. Structure and height requirements keep things safe and visible (details given on acceptance). During the event activities from 11am-1pm, all vending tables should be closed. 

5. Set Up & Logistics:  Set up is 6:00–9:00 pm Friday, or before 9:00 am Saturday. The event opens to attendees at 10:00 am and concludes at 2:00 pm Sunday. All materials must be removed by 3:00 pm. Exhibitors are expected to stay through the official close.

6. Electric Service:  Electricity is limited—please specify any need in your application.

7. Offerings:  We encourage demonstrations, self-care appointments, spiritual guidance, creative experiences, and thoughtful goods or services that nourish guests’ wholeness and growth. No competitive or “hard sell” tactics—Her Table is for genuine sharing.

8. Prize Drawings:  Each sponsor/exhibitor level includes a gift or service for attendee drawings, as a way to delight and give back to the community.

9. Work Rules:  Exhibitors are responsible for managing their own setup, tear-down, and any equipment needed.

10. Use of Exhibit Space: No subletting or sharing space without permission. Only regular business offerings permitted; outside firms not assigned space may not solicit business.

11. Motion Pictures, Sound Devices, Lighting: All equipment needs advance approval and must comply with local and venue regulations. Volume and activity must not disturb neighbors.

12. Circulation, Solicitation, and Selling:  Giveaways and printed items must stay within your assigned space. Aisles and public spaces are not for direct selling or solicitation. All legal requirements for onsite sales apply.

13. General Restrictions: We reserve the right to restrict exhibits causing disruption (noise, blocking views, etc.) or that don’t align with the event’s character.

14. Location:  Exhibit locations may shift as necessary for best flow and experience.

15. Liability & Insurance: Her Table and the venue are not liable for loss, theft, or damage. Exhibitors are advised to carry their own insurance as needed.

16. Failure to Open: If the event must be canceled or interrupted for reasons beyond our control, liability is limited to any applicable fee refund minus shared costs.

17. Care of Buildings: Please do not damage or deface the venue or furnishings. Any damages or rule violations are the exhibitor’s responsibility.

18. Food/Decor: Please request permission in advance before giving away or selling food (exception is candy for small candy for table).

19. Care & Respect: Treat the venue, staff, and each other with care and respect. We are all guests in this shared space; kindness is foundational here.

20. Inclusivity & Faith: Her Table welcomes and celebrates all women, regardless of background, belief, or identity. This is a gathering for women of faith, and we ask all sponsors and exhibitors to honor the spirit and values of the conference in both words and actions. Please ensure your offerings, materials, and personal conduct are supportive of, and never in conflict with, women of faith and the event’s purpose. Kindness, openness, and non-discrimination are essential here.

21. Safety & Compliance: All offerings must follow venue and local requirements. Please ask in advance about special requests (equipment, food, spiritual practices, etc.).

22. Weather & Cancellation: If the event is cancelled for reasons beyond yours or our control, space fees are not refundable.  Cancellations by vendors require written notice.
